What you'll have

Gmail filters that label invoices and receipts, a Zap that logs each one to a spreadsheet with an AI-suggested category, and a monthly review in your accounting software.

Who pays for it: You, first. Once it works, you can set it up for other freelancers as a small service.

Step by step

2 of 4 steps are checked against official docs, 1 is our advice, 1 couldn't be verified (marked). Menu names are quoted from the linked docs as of the date shown; apps change, so follow the doc if what you see differs.

  1. Label incoming invoices with a Gmail filter

In Gmail's search box, click Show search options, enter criteria such as invoice or receipt, click Search to check the results, then Create filter and choose a label. Filters only affect new messages.

Source: Gmail Help: Create rules to filter your emails, read 20 October 2026

  2. Build a Zap from that label

Use a new labeled email as the trigger and add actions, mapping fields from the email so each run uses its own data.

Source: Zapier Help: What is a Zap, read 20 October 2026

  3. Add an AI step to summarise and categorise

Have an AI step pull out vendor, amount, date and a suggested category. Treat it as a suggestion and check amounts against the attachment.

Our advice. No specific menus involved.

  4. Reconcile monthly in your accounting software

Upload receipts and match transactions in QuickBooks, Xero or Wave.

Not verified in the docs. The QuickBooks receipt-upload article returned an error when we checked on 20 Oct 2026, so this step's menu names aren't verified. QuickBooks Online help

Common mistakes

  • Trusting AI-extracted amounts without checking.
  • Sending financial documents to tools a client hasn't approved.
